Our privacy policy and how we use your data

Effective January 1, 2025

This Privacy Policy explains the personal information that CondoVerify, LLC collects when you use or access our websites, apps, products, services, and communications (collectively, the Services), how we use it, and the purposes for which we share it with third parties.

Quick summary (not a substitute for the full policy):

We combine public/government records with AI models to generate condo reports and alerts. We collect typical account and usage data, and—only with your consent—process payments and precise location. You can opt out of targeted ads and request access/deletion/correction where applicable. Public records we reference are typically not treated as Personal Information under many state privacy laws when the data is publicly available, but we still safeguard how we handle and display it.

Protecting the Privacy of Minors

Our Services are not intended for minors, and we do not knowingly collect information about minors. If you are under 18, do not use the Services or provide information to us.

What We Mean by Personal Information

Personal Information means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household.

Personal Information does not include: (i) publicly available information from government records; (ii) de-identified or aggregated data that cannot reasonably be linked to you.

Who This Policy Covers

We may collect Personal Information about:

  • Consumers using CondoVerify (e.g., one-off report buyers, subscribers).
  • Business Contacts (e.g., employees/contractors of HOAs, property managers, brokerages, lenders, insurers, law firms, and other partners or prospects).
  • Submitters who upload documents or submit corrections/feedback related to buildings or associations.
  • Job Applicants applying to roles at CondoVerify.

Categories of Personal Information We Collect

We collect various types of Personal Information including:

  • Identifiers: name, email, phone, IP address, device IDs
  • Account Data: login, role, preferences, plan tier, report history
  • Commercial Info: purchases, subscriptions, refunds, cart interactions
  • Internet/Network Activity: pages viewed, referrers, session logs, ad interactions, cookies/SDK events
  • Geolocation: city/ZIP, approximate location from IP
  • Recorded Data: support calls/chats, product feedback, emailed attachments
  • Professional/Employment: employer, title, work email/phone
  • Inferences: usage-based preferences or segments
  • Sensitive PI: only with consent - precise geolocation, payment card data (via processor), account usernames/passwords

Public Records Note: We link to or summarize government/public-record documents (e.g., clerk filings, permits, inspections, court dockets, association records). Those underlying records are typically not Personal Information under many U.S. state privacy laws when publicly available.

Sources of Personal Information

We collect Personal Information:

  • Directly from you (account creation, purchases, uploads, support).
  • Automatically via cookies, pixels, SDKs, local storage, and similar technologies.
  • From your employer or contracting organization (for Business Contacts).
  • From service providers (payments, analytics, communications, fraud prevention).
  • From public and third-party sources (government portals, courts, building departments, data partners).
  • With your consent for sensitive items (e.g., precise location, payment card info processed by our payment provider).

How We Protect Personal Information

We maintain administrative, technical, and physical safeguards designed to protect Personal Information against unauthorized access and use. These include access controls, encryption in transit, and vendor due diligence. To protect your account, use a strong, unique password, limit sharing of credentials, and log out when finished.

We do not sell information that directly identifies you (e.g., your name, email, phone). We also do not publicly display full payment card data or store complete card numbers—we rely on a PCI-compliant payment processor.

How We Use Personal Information (Purposes)

For Consumers

  • Provide Services (generate reports, deliver documents, run searches you request).
  • Communicate about your account, purchases, alerts, or product updates.
  • Personalize content and features, including saved buildings/associations.
  • Improve quality (debug, analytics, A/B tests, fraud prevention).
  • Marketing (with choices described below), including measuring ad performance.
  • Comply with legal obligations and enforce our Terms.

Sensitive Personal Information

  • Precise geolocation (optional): to locate nearby public offices, show relevant jurisdictional data, and reduce fraud.
  • Payment card info: to process purchases (handled by our payment processor).
  • Account credentials: to authenticate and secure your account.

Targeted Advertising, Analytics & Sale/Share Disclosures

We use cookies/SDKs and similar tools for analytics and to deliver or measure targeted advertising on our site and third-party sites. Some state privacy laws treat this as a sale or sharing of Personal Information (e.g., cookie IDs, IP, device data) for cross-context behavioral advertising.

  • You can manage cookies via your browser and device settings.
  • You can opt out of certain targeted advertising via the YourAdChoices program and major platforms privacy controls.
  • Where state laws apply (e.g., CA, CO, CT, UT, VA), you may use our Do Not Sell or Share My Personal Information link and/or enable a Global Privacy Control (GPC) signal in your browser—we will treat GPC as a valid opt-out where required.

We do not knowingly sell the direct identifiers of users (like name, email, phone).

How We Disclose Personal Information

We may disclose Personal Information to:

  • Service providers / processors: payment processing, hosting/CDN, analytics, communications, customer support, security, auditing, and ad partners (limited cookie/ID data).
  • Your organization: for Business Contacts when your employer procures access.
  • Public/Government sources: to retrieve records you request; we do not alter originals.
  • Law enforcement / regulators: when required by law or to protect rights, safety, and security.
  • Transaction parties: in connection with a merger, acquisition, or asset sale.
  • With your direction/consent: e.g., when you ask us to share a report.

We do not disclose complete payment card numbers. We do not publish precise geolocation.

Cookies & Similar Technologies

We use first-party and third-party cookies/SDKs for core functionality (session management, authentication), performance (load balancing, analytics), and marketing (measuring ad effectiveness). You can adjust settings in your browser/device; disabling some cookies may impact functionality (e.g., staying logged in, saving preferences).

State-Specific Privacy Rights (U.S.)

Depending on where you live (e.g., California, Colorado, Connecticut, Utah, Virginia), you may have rights to:

  • Know/Access the categories and specific pieces of Personal Information we collected about you.
  • Delete certain Personal Information.
  • Correct inaccuracies.
  • Portability: receive a copy in a portable format.
  • Opt-out of sale/sharing for targeted advertising and certain profiling.
  • Limit use/disclosure of Sensitive Personal Information (where applicable).

Non-discrimination: We won't discriminate against you for exercising privacy rights, though some features may require certain data to function.

GDPR/EEA/UK Notes (If You Access from Abroad)

Our Services are aimed at U.S. buildings and records. If you access from the EEA/UK, we may act as a controller for your account/usage data and rely on bases such as contract, legitimate interests (e.g., security, product improvement), consent (for cookies/ads where required), and legal obligations. Data may be transferred to the U.S. using appropriate safeguards (e.g., SCCs). You can contact privacy@condoverify.com to exercise EEA/UK rights.

Retention

We retain Personal Information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, maintain security and fraud prevention measures, and enforce agreements. We may retain report artifacts and audit logs (without full direct identifiers where feasible) to support product integrity and legal compliance.

Your Choices

  • Marketing emails: unsubscribe via any marketing email footer or your account settings. Transactional/service emails will still be sent.
  • Cookies/Ads: update browser/device settings, use YourAdChoices, and use our Do Not Sell/Share controls.
  • Location: disable precise location permissions in your browser/device.
  • Corrections/Annotations to Reports: email support@condoverify.com with your report ID and authoritative documentation (e.g., certified record, court order). We may annotate or re-issue a report; we do not amend the original government record.

Third-Party Websites & Services

Our site and emails may link to third-party sites, tools, or public portals. We don't control those properties and aren't responsible for their content or privacy practices. Review their policies before sharing information.

Changes to This Policy; Your Consent

We may update this Policy from time to time. We will post the updated version with a new Effective Date. Your continued use of the Services after changes take effect constitutes your consent to those changes.
